What Earl does
Here is everything Earl handles today.
Earl keeps a list of what's outstanding, like jobs with no dates yet, days with nobody assigned, and quotes that haven't gone out. Then he works on those items in the background and shows you a finished plan. You can approve it, change it, or turn it down.
Earl keeps a page for every customer, job, place, and person on your team, and links them the way you'd think of them. If you call it the Barracuda job one day and 10 Barracuda Drive the next, he knows it's the same job. When he notices something, he mentions it in your morning brief.
You can book a job with one sentence. Earl keeps track of days off, sick days, who's free, and who's already booked somewhere else, and the crew can see their week on their phones.
Tell Earl once how you price your work. After that he builds the quote, sends the customer a link, turns a yes into an invoice, and marks it paid when the money comes in.
Tell Earl that Mike did eight hours at the Nguyen kitchen and it's logged, with Mike's rate. Ask what you owe everyone and you get a real number, plus a pay statement you can hand over.
There's one storage bot for each place you keep things. You can walk the shelves and talk, take photos, or import a spreadsheet. Earl tracks what's running low, what to reorder, and who has which tool checked out.
Updates, photos, checklists, and the parts used all go on the job's dated log, with a summary Earl keeps current. When the work is done, he writes up the job report.
Earl will make a schedule for the week as a PDF, a stock list, a report on any sheet, or a breakdown of costs by job. Ask him what's slipping and he answers from your own numbers.
Crew, jobs, customers, suppliers, and whatever else you track are kept as ordinary tables that the bots read and write. You can export any of them to Excel whenever you want, and they're backed up every night.
Employees get their own login. They see their jobs, the calendar, and the stock, but not rates, pay, invoices, or anyone else's hours.
Every answer is checked against your own records before you see it. If something isn't written down, Earl tells you so instead of making it up.
Earl is the one you talk to. Behind him are a scheduler, a money bot, and a storage bot for each place, and you can add custom bots for things like ordering, bookings, or permits.
